Submitting Early Move-In Requests
Returning student move-in for Barnard (and Columbia) students living in Barnard residence halls starts on Saturday, August 31, 2024.
To request early move-in prior to that date for students directly involved in running NSOP, etc, please follow the instructions below.
Note: NSOP 2024 starts on Wednesday, August 28, 2024.
The deadline to submit early move-in requests for campus offices is 4pm Friday, July 12, 2024 (earlier submission is appreciated).
Instructions & Policies
- All requests must be submitted to housing@chalakseir.com using the Excel spreadsheet template linked above. It is not necessary to include the students’ buildings & room numbers.
- Barnard Res Life will respond after your list is submitted to confirm if move-in on your requested date can be approved or accommodated. Note: offices are not charged for early move-ins, but all requests are individually subject to approval.
- If any student cancels participation in your program, please email housing@chalakseir.com as soon as possible so that we can remove the student from the Early Move-In permission list.
- All requests must be submitted by the sponsoring department, not by the students themselves.
- Students will only be permitted to move in early if they are in good standing with the College (i.e. disciplinary, academic, payment, etc.). Offices are expected to submit lists of students in advance to Madeline Camacho (mcamacho@chalakseir.com), Associate Director of Community Standards & Investigations, prior to offering positions to students to ensure that they are in good standing.
- Early check-in can only be provided for students directly involved in running NSOP -- ex. Orientation Leaders, etc. Early check-in is not intended to provide convenience for the scheduling of training sessions which can take place after the standard move-in date for returning students.
- Early check-in can only be provided for students with Fall room assignments in a Barnard residence hall (this includes CU students living at Barnard). We cannot provide housing for students living off-campus or in a Columbia residence hall.
- While it is not necessary to provide students’ res hall and room numbers on the Request Template, please ask your students to let you know if they are living in a Columbia residence hall for the Fall semester. If they are, you will need to submit a request ASAP to the Columbia Housing office (housing@columbia.edu) to ask if they can move in early. Please note that your department may be required to pay CU Housing Services for those students’ early check-in.
- Students may only be approved for check-in one (1) business day before the start of work, training, etc. (i.e. if your program’s training starts on Thursday, August 22, you may request for students to move in on Wednesday, August 21). If your training starts on Saturday or Sunday, the students would need to move in on Friday. Individual requests to move in earlier than the date approved for the group as a whole cannot be accommodated.
- Students may sign for their keys between 9am-5pm Monday-Friday at the Res Life office (110 Sulzberger). Unfortunately we cannot to accommodate weekend or evening check-ins and key packets cannot be left at the residence hall Front Desks or with CARES.
- Some students may not be able to move into their Fall room due to the residence hall cleaning schedule (ex. if the room was used for summer housing). These students will move into a non-air-conditioned temporary shared Double room in the Quad. Residential Life & Housing cannot accommodate room or roommate requests for temporary assignments. Students must be provided time by their sponsoring department to complete their move from the temporary room to their Fall assignment when directed. The date/time their Fall room will be ready for move-in will depend upon the pace of cleaning.
Expectations for Students
Students approved for early move-ins will be emailed instructions in early August for their move-in. The following expectations for moving in early will be shared with them:
- Students are expected to positively represent themselves, Barnard College, Columbia University, and the office or organization to which they belong throughout the Early Arrival and/or New Student Orientation Period (NSOP).
- Students are expected to abide by all College and Residential Life & Housing policies & procedures, as well as local, state, or federal laws. Any alleged policy violations during this time, in addition to being subject to disciplinary action, will be reported to your coach, advisor, or supervisor of the program that is sponsoring your for Early Arrival / NSOP. Your behavior during this time period is a reflection on the office or organization serving as your sponsor.
- Any violations may result in your early arrival status being revoked and/or the loss of your academic year campus housing assignment.
- If your sponsoring department confirms that you are no longer participating in their program, your early check-in will be canceled and you will need to wait to move in during the general Returning Student check-in period (August 31 - September 2, 2024).
- Your permission for early check-in does not extend to roommates, suitemates, or other students. Students may not provide access to campus housing to others before those students' own approved check-in dates.
- Residence hall cleaning & other preparations for the Fall may still be ongoing when you check-in. Facilities staff may need to enter your room or suite to perform needed maintenance, etc.
- Students are expected to keep common areas clean before other students move in.
